Structured lost reasons

A reason can be recorded against a lost opportunity, saying why it was lost.

Why it matters

This is the cheapest management information in sales and the most commonly skipped. Lost reasons tell you whether you are losing on price, on product, to a named competitor, or to no decision at all, and each of those calls for a different response.

A free-text note records it for one person to read once. A structured field makes it countable, which is what turns anecdote into a pattern you can act on.

How we test it

A structured, reportable field is a pass. A free-text note is partial. Mandatory-at-close is not required, because whether it is enforced is a doctrine question rather than a platform one.

Fails if there is no way to record why an opportunity was lost.

No vendor documentation reachable during this evaluation states whether a reason can be recorded against a lost opportunity, either as a structured field or as free text. This dimension is neither confirmed nor ruled out.

No out-of-the-box lost reason field appears in the documentation for marking a deal won or lost. A structured reason is instead created as a custom deal field, and the vendor's own guidance names a won or loss reason as the example use for a dropdown deal field. That field is structured rather than free text, deals can be filtered by it in the pipeline, and custom reporting carries deal custom field name and value as dimensions, so the reason is reportable. The buyer has to configure the field, and nothing in the documentation makes it mandatory at close.

Loss Reasons are a configured list under the Opportunities app settings, used to track why deals were lost, with examples such as poor qualification or high price. Each reason is created with a name, a graph colour used in charts, and an option to track the competitor and additional comments alongside the reason, so the reason is a structured selectable value rather than free text.

No lost reason attribute ships on the standard deal object - the documented writeable attributes are name, stage, owner, value, associated people and associated company. An administrator creates one as a select or multi-select attribute on the deals object, which Attio's own workflow template treats as the standard pattern, listing a Lost Reason select or multi-select attribute on the Deals object as a prerequisite and then checking whether that field is empty when a deal reaches Lost. Once created it is a structured, filterable and reportable attribute, not a free-text note, so the mechanism is structured but the buyer must configure it.

No reason for loss field appears in the vendor's list of default pipeline record fields, and no vendor article describes a reason being requested when a record is marked lost. The default field that could hold one is Description, which is free text. A structured reportable field is reachable by configuration rather than out of the box: custom picklist fields can be created on the Pipelines module, a stage transition rule can mandate that a named field is completed before a record moves to a given stage, and dashboard charts can be grouped by a module field. That combination gives a structured, mandated and reportable lost reason, but the buyer builds it.

A lost outcome is recorded by moving the record into a stage whose status type is Deal Lost, and each deal carries its own notes, which can be created, edited and replied to, so the reason can be written against the lost record as free text. No dedicated lost reason field, structured or otherwise, appears anywhere in vendor documentation, and no lost reason breakdown exists among the seven pipeline analytics blocks. Deal attributes can be created and customised from settings, so a structured reason could be built, but the vendor does not document which field types are available on the deal object.

When an opportunity is marked lost the user can optionally select a Lost Reason from a list that an administrator configures in account settings, and the API carries a `lostReason` field on the opportunity. The list is account-wide and shared across all pipelines. Three native reports break lost opportunities down by reason, by owner and by team, so the field is structured and reportable rather than free text.

There is no dedicated lost reason field in Close. Custom fields can be attached to the Opportunity object and the available types include Dropdown (single) and Dropdown (multiple), so a structured picklist reason can be defined on the opportunity itself. Explorer accepts custom fields as a reporting dimension, with the documented exclusions being text fields and choice fields carrying more than ten options, so a reason list kept to ten or fewer choices is reportable. Additionally, statuses are user-created and each is assigned a type, so several separately named statuses of the Lost type can be defined.

Marking an opportunity Lost prompts for a Loss Reason chosen from a defined list, stored on the record as `loss_reason_id`. Administrators can add, rename, reorder and delete the options, and the values feed a Loss Reasons report, so the field is structured and reportable rather than free text.

A lost reason is held in a single-select custom field on the deal group, which makes it structured rather than free text, and folk's own dashboards documentation lists a suggested chart that breaks records down by lost reason so the sales process can be analysed. The field is not supplied by the deal template and has to be created, but the field type and the reporting on it are both built in.

"Lost reason" is documented as one of the deal-level dropdown lists an admin can customise, alongside Deal stage, Deal Pipeline, Type, Product and Payment status. It is therefore a structured picklist field rather than free text, and the curated Sales Trends report includes a Lost Reasons view.

A dedicated Closed lost reason deal property records why a deal was lost, and a native Deal loss reasons report groups closed lost deals by that property. The default field type is multi-line text; the property can be converted to a dropdown select, or a custom dropdown property used instead, provided the existing property holds no data and is not used as a conditional property.

Administrators define Opportunity State Reasons per state under System Settings, so a Lost opportunity can be tagged with a reason drawn from a controlled list rather than free text. The reason is reportable: a Lost Opportunities by Reason card ships on the standard Opportunities dashboard. A reason can only be assigned at the moment the state is changed.

No dedicated lost reason field is documented anywhere in vendor material on closing a deal. Deals do support buyer-created custom fields, including single-select and multi-select dropdowns and radio buttons, created from the deal record and arranged per pipeline through a layout editor, so a structured reason field can be built. Whether the resulting field can be reported on natively is not documented.

The Opportunity Close table carries a Status Reason choice column (`opportunitystatuscode`) whose shipped options include Canceled and Out-Sold for a loss alongside Won, plus a Competitor lookup and a free-text description of why the deal was won or lost. Administrators can add their own status reason values against the won and lost statuses and add custom columns to the close form, so the reason is a structured, reportable field rather than a note.

No out-of-the-box lost reason field is documented on the Deals board, but a structured reason is recorded with a Status or Dropdown column added to the board, and monday CRM documents conditional status changes, which require named fields to be completed before a Status column can be set to a specific label - the documented requirable column types include Dropdown, Text, Date, Numbers and People. That is a structured, dashboard-reportable field captured at the moment the deal is set to the lost label. The field has to be configured by a board owner rather than arriving with the product, and conditional rules are bypassed by automations, batch actions, the API and dashboards.

Lost reasons are configured on the pipeline itself, so a lost deal is tagged from a controlled list the administrator maintains rather than free text. Every opportunity status can carry configurable Status Details, and the vendor's own worked example attaches details such as lost to a competitor or lost on price to a Lost status. Status Detail is a drop-down rather than free text, it is a stored field that the opportunity importer accepts as Status Detail Description, and the report builder allows opportunity fields to be selected as columns and filters, so the reason is structured and reportable.

There is no standard lost reason or close reason field on the Opportunity. The published list of standard Opportunity fields contains no such field; the only native place to type a reason is the free-text Description field, which alone would be partial. Salesforce's own Trailhead guidance instructs administrators to create a custom Lost Reason field on the Opportunity, treating it as a new addition requiring manual setup. A custom picklist created that way is fully structured and reportable, so the capability is reachable with buyer-side configuration but is not shipped.

Streak documents no lost reason concept anywhere. What it documents is a general dropdown column type offering a single selection from a predefined list, which can be added to any pipeline and reported on through the Boxes by Column report, which breaks boxes down by the values held in a chosen column. A structured, reportable lost reason is therefore achievable and reportable, but it is a field the buyer defines rather than one the product supplies or names.

No stock lost-reason field on the deal appears in the documentation reviewed. A structured and reportable lost reason can be configured natively: administrators add and edit picklist values for a chosen module under configuration settings, custom blocks and fields can be added to modules including Deals, and the Reports module can then build detail, summary and pivot reports and charts over those fields. The capability is therefore present but has to be created by the buyer rather than being supplied ready to use.

A Reason for Loss field is surfaced in the confirmation window when a deal is moved to a closed lost stage, and the vendor converted it from a free-text descriptive field into a system-defined picklist with editable predefined options. The vendor states the change was made precisely because the earlier note-style entry could not be shown in list views or filtered, so the field is now structured and reportable.
