OPERATIONAL RULES
Update the CRM in Real Time
The CRM is the system of record for all opportunity activity. Every conversation, meeting, call, or piece of intelligence gathered from a client interaction must be captured in the CRM immediately after it occurs - not at the end of the day, not before the next meeting. Delayed updates mean the data in the CRM does not reflect reality, which breaks every downstream process that depends on it.
Observance of the Rule
- The CRM always reflects the current state of every opportunity.
- Sales managers and CRM administrators can rely on the data without chasing verbal updates.
- Forecasts, reports, and automations operate on accurate, timely information.
- The pipeline is a live operating tool, not a reporting exercise done after the fact.
Violation of the Rule
- The pipeline becomes a lagging record rather than a live operating system.
- Sales managers cannot trust what they see and must chase verbal updates.
- Forecasts are built on stale data.
- Automations triggered by opportunity updates fire at the wrong time or not at all.
SALESPERSON
Execution
- Log all call outcomes, meeting notes, and client intelligence directly in the CRM immediately after the interaction.
- Do not use external notes, email drafts, or personal notebooks as a holding place - go straight to the opportunity in the CRM.
- Email clients from within the opportunity so that correspondence is automatically logged against the opportunity record.
- If you cannot access the CRM during a meeting, update the opportunity within the hour - not at the end of the day.
