Administrators define Opportunity State Reasons per state under System Settings, so a Lost opportunity can be tagged with a reason drawn from a controlled list rather than free text. Email Inbox Sync connects a Gmail, Office 365 or Outlook mailbox and captures inbound and outbound mail automatically, matching it to contact and lead records and threading replies. Mail sent from Insightly lands in the native client's sent folder, and mail sent or received in the native client syncs back into the CRM without forwarding or a BCC address.

Tasks are created inside the CRM from the quick-add menu or from a record, with due date, start date, assignee, reminder, recurrence and links to opportunities, contacts, organizations and pipeline stages. Task type is expressed through Categories, whose values and colors administrators create and edit under System Settings, so the type set is not fixed. Meetings are handled by the Event object. Activity Sets can generate tasks and events automatically at a pipeline stage.

Two of the three required reports are documented natively. Overall win rate ships as a Win Rate card on the standard Opportunities dashboard. Forecasting is supported by a first-class Forecast Close Date field plus an Expected Revenue field, calculated as opportunity value multiplied by probability, which can be summarized in opportunity reports and appears as a Sales Pipeline Weighted card. Stage-to-stage conversion rate is not documented: the pipeline funnel card plots a count of records per stage, and the Opportunity Stage Duration report measures time spent in each stage, neither of which is a conversion rate between stages.
