monday CRM ships five dedicated entity boards - Leads, Contacts, Accounts, Deals and Activities. Contacts carry an Account column that is a Connect Boards column pointing at the Accounts board, the contact item card shows all deals connected to that contact, and notes, activities, custom activities and emails are linked to CRM records through shared email or phone values, Connect Boards columns and mirror columns, with manual association available to set the links explicitly. Account association is a column on the contact, not a requirement, so an organization link is possible rather than mandatory. Association is by connected board columns rather than by a fixed relational schema, so each link is a column a board owner has to keep in place.

The Deals board carries a Stage column of Status type that records where the deal sits in the sales cycle, and the stage labels are ordered - the Deal Stages widget lets a board owner drag and drop the labels into the intended sequence and then reports time spent at each stage and lets a closed or abandoned deal be reopened from its last active stage. Stage ordering is treated as a real sequence by the CRM reporting layer, which calculates transitions between stage labels. Stage progression is not enforced - any label can be selected at any time unless a board owner adds conditional status rules.

The Deals board records where an opportunity sits in a Stage column of monday's Status type; the seven shipped columns are Stage, Owner, Deal Value, Contacts, Expected Close Date, Close Probability and Forecast value, with no separate open or closed attribute on the item. Whether the opportunity is settled is instead a designation on the label: monday lets a board owner choose which labels define a status as done, and the API exposes is_done on each status label and on the item's status value. You must look up the label's configuration to know whether the opportunity is still live. Ruled 30 Aug 2026: status and stage must be completely separate values, so an outcome that is a property of the stage is not a status attribute at all.

Nothing designates a stage label as won as opposed to lost. The done flag on a status label separates settled from unsettled but not the two outcomes, and the Deal Stages widget only lets a board owner pick which labels mean complete or incomplete. Won and lost exist as label text that the buyer types: the Funnel Chart widget is documented as calculating conversion between whichever status labels the buyer names, and the Forecasting View reads whichever label the buyer has designated as the closed won stage.

The only date column shipped on the Deals board is Expected Close Date, and the Forecasting View's own close date mapping is documented as the expected close date for each deal. No vendor documentation describes a field holding the date an opportunity was actually settled, so a buyer wanting one must add a date column of their own to the board. Ruled 30 Aug 2026: the close date must be a native system field. It is the field the conversion rate report counts a closed opportunity by, so a date the buyer has to build is a fail, not a shortfall.

Structured lost reasons

No out-of-the-box lost reason field is documented on the Deals board, but a structured reason is recorded with a Status or Dropdown column added to the board, and monday CRM documents conditional status changes, which require named fields to be completed before a Status column can be set to a specific label - the documented requirable column types include Dropdown, Text, Date, Numbers and People. That is a structured, dashboard-reportable field captured at the moment the deal is set to the lost label. The field has to be configured by a board owner rather than arriving with the product, and conditional rules are bypassed by automations, batch actions, the API and dashboards.

Email sync

Emails & Activities connects a Gmail or Outlook mailbox by OAuth with read and write permission and provides a composer on the CRM item, and every thread sent from that composer is logged to the item timeline. Mail sent or received in the native client is also logged onto the item when the message carries both the address in the item's Email column and the connected mailbox address, and monday describes this as two-way email integration with Gmail and Outlook. A setting narrows logging to messages that BCC the connected address, but that is optional rather than the only route. Limits are documented: messages predating setup are not captured, and an address used in more than 250 Email columns stops being logged.

The monday CRM Google and Outlook calendar integrations pull external calendar events onto the contact's Emails & Activities timeline where the contact is an attendee, or is the creator with the connected account as an attendee - that direction is calendar into CRM. The reverse leg tied to the activity object is not documented: the Emails & Activities FAQ states that activities added to the Activities board after a calendar sync is set up are not automatically added to the calendar and that monday is working on making it possible, and manual timeline association does not yet support Calendar Meetings. A two-way board integration recipe does exist, but it maps a Date column on a board to a calendar event and creates board items from calendar events, which is column-to-calendar sync rather than the Meeting activity itself; the plain Calendar sync feature is explicitly one-way out of monday. Two-way Outlook calendar sync with Emails & Activities is an open request on the vendor community forum, with users reporting they resort to Make or Zapier.

Overall conversion is covered: the Funnel Chart widget plots a status column against a numbers column and calculates the transitions between stage labels, stated in the documentation as the conversion percentage of a deal from New to Won, and the Leaderboard widget repeats that conversion percentage per representative. Forecast is covered: the Forecasting View projects revenue for a defined period against a target, broken down by deal stage and owner, and the Deals board ships a Forecast Value formula column of deal value multiplied by close probability. Stage-to-stage conversion is the gap - the funnel documentation describes transitions between labels but never states an adjacent-stage conversion rate as an output, and the Deal Stages widget reports time spent at each stage rather than conversion out of it. Everything here is a native dashboard or board view rather than an external BI connection.
