The system is a hierarchical database with Company at the top, Contact beneath it, and Opportunity beneath the Contact, with Problems and interactions such as notes, documents, emails and quotes logged under those records. Tasks are a separate object that can be set against a Company, Contact, Opportunity, Problem or Enquiry, and multiple tasks can be assigned to different users on different dates. Vendor documentation states an opportunity is not strictly required to sit under a Contact but that doing so is strongly advised, so association is possible rather than compulsory at that level; contacts, however, are created at a Company.

Pipeline stages

Opportunity Pipelines are described by the vendor as funnels or journeys made up of ordered statuses, where the status at the top of the configured list is the first to appear in the pipeline. An opportunity advances by changing its Status from a drop-down, users can move back to a previous status, and a Kanban board renders opportunities in columns representing the pipeline statuses with drag and drop between them. More than one pipeline can be defined, each with its own status set.

The opportunity holds only its Current Status, which is one entry in the pipeline's ordered status list. Whether that means the opportunity is still live is a setting on the status definition: the administrator ticks a closed-state option when configuring a status such as Sold or Lost. You have to look at how the status was configured to know whether the opportunity is settled. Ruled 30 Aug 2026: status and stage must be completely separate values, so an outcome that is a property of the stage is not a status attribute at all.

Won versus lost is likewise carried by the status definition, not the opportunity. Each status is configured as a positive, neutral or negative outcome, and the vendor gives Lost as an example of a negative outcome and Won as a positive one. Reporting on lost work is built on filtering for statuses whose outcome is negative.

Actual close date

Every vendor page that enumerates opportunity dates names only Estimated Close. The record walkthrough lists Description, Sales Person, Type, Pipeline, Size, Margin, Summary, Analysis, Current Status, Source and Guttometer with no settled date; the filtering guide gives Estimated Close as the opportunity date filter; the Kanban page offers editing the estimated close date and a Kanban by Estimated Close view; and the standard sales reports reference order date, estimated close date and last ordered, never a date an opportunity was closed. The Sales Rep dashboard reports opportunities closed this month, last month and in the last ninety days but the vendor does not say what date drives that.

Closed opportunities stay in the system and stay in the vendor's own reporting. A standard All Opportunities report sits alongside the open-only reports, the Sales Manager dashboard carries a Lost Opportunities tile drawn from opportunities in negative statuses and a Closed Deals tile broken down by deal type and value, and the Sales Rep dashboard's Close Rate tile is built on opportunities closed this month, last month and in the last ninety days.

Structured lost reasons

Every opportunity status can carry configurable Status Details, and the vendor's own worked example attaches details such as lost to a competitor or lost on price to a Lost status. Status Detail is a drop-down rather than free text, it is a stored field that the opportunity importer accepts as Status Detail Description, and the report builder allows opportunity fields to be selected as columns and filters, so the reason is structured and reportable.

Email sync

Not at all

Mail can be sent, replied to and forwarded from inside the CRM from records that show an email icon, including opportunities, with the copy saved automatically against the record and outbound mail sendable from the customer's own domain. Inbound mail arrives by two manual routes only: the Save to CRM add-ins for Outlook desktop, Outlook web and Gmail, which save individual messages against a chosen record, and a unique CRM inbox address that users copy, blind copy or forward to, optionally via a client-side forwarding rule. No connected-mailbox synchronisation is documented, so mail sent or received in the native client does not reach the CRM unless the user pushes it there.

Calendar sync

An Outlook calendar integration is authorised per user and the CRM calendar then shows a live reflection of the Outlook calendar alongside CRM tasks, with a refresh control to pull through changes made in Outlook. Events created in the CRM are written into the user's Outlook calendar and attendees receive the standard Outlook invitation, so traffic runs in both directions, but an event cannot be edited in the CRM once created and must be amended in Outlook. The integration is published as a Preview feature, only Microsoft Outlook is supported, and the vendor states Google Workspace support is planned rather than present.

Tasks are created inside the CRM from the global create menu, a record's activity feed or the task list, carrying a name, assignee, date, type, description and parent record, and multiple tasks can be set against one record with email notification to the assignee. Both Activity Types and Task Types are administrator-defined lists that can be added to and edited, with the vendor's own examples covering calls, customer meetings and general contact, so internal operational work can be modelled as its own type.

Opportunity reporting

One of the three exists, and the rule requires two. A revenue projection is available: Opportunity Estimated Close is a first-class, mandatory opportunity field, the standard Sales Pipeline reports for this month and next month run on it, and the report builder totals values over a filtered set, so a period-scoped projection of open opportunity value is buildable natively. The other two are absent. Despite its name, the Close Rate dashboard tile is a doughnut chart aggregating opportunity counts by outcome into positive, negative and neutral bands, and a count breakdown is not a win rate. No report is documented that states the proportion of opportunities advancing from one stage to the next; what exists is distributional - open opportunities by status, the Kanban views, and a current pipeline gauge broken down by likelihood band. Neither gap can be closed in the builder, whose summary options are total, minimum, maximum, average and unique values plus a record count, with no percentage, ratio or formula measure; percentages that appear in reports are pre-built stored fields. The documentation's stated route to anything further is export to an external BI tool, which does not count.
