Core objects

In full

Vtiger holds Deals, Contacts, Organizations and Events as separate modules. A deal is defined by the vendor as a sales opportunity being pursued with a person or an organization. An organization record carries its own information plus its related contacts and its associated deals, and deleting an organization breaks the link to its contacts and removes its related deals, which confirms both relationships are real. An event can be created from inside a deal record through the deal's Events tab, and carries a Related To field that keeps it attached to the deal.

Pipeline stages

In full

A deal carries a Sales Stage that is changed either by selecting a new stage from a drop-down on the record or by dragging the deal between columns in the Kanban view, which opens by default on the Deals list. The vendor documents the stage sequence used by forecast categories as New, Qualifying, Requirements Gathering, Value Proposition, Negotiation, Ready to Close and Closed Won, so the stages form an ordered progression rather than a flat status flag, and deals are described as progressing through stages in a pipeline.

Status

No verdict

No enumeration of the attributes Vtiger ships on the deal record could be reached, so absence cannot be evidenced. Everything reviewed describes what an administrator can configure rather than what the object carries: the pipeline stage editor is documented as taking only a stage name, a probability, the roles allowed to set it and a color, and the vendor's Standard pipeline runs New 5, Qualification 20, Need Analysis 30, Value Proposition 40, Negotiation 70, Ready to Close 90 and Closed 100 without containing the Closed Won and Closed Lost stages the vendor's own closing instruction tells users to pick. The forecast categories are a cumulative reporting rollup, not a per-stage type. None of that enumerates the deal's shipped attributes, and a stage-configuration screen is exactly the kind of source that would have missed Pipedrive's shipped deal status attribute.

Searched: Vtiger help center: the Deals FAQ subcategory in full, What is a deal, How can I create a deal, How do I change the Sales Stage in a Deal, How do I mark a deal as Closed, What is the Standard pipeline, How do I create a new pipeline, What are the Forecast categories; the Managing your Deals, Deal Management Overview and Deal Pipeline, Stages, and Lifecycle articles; the API FAQ subcategory in full, What are REST APIs in Vtiger, and the Rest API Manual at help.vtiger.com/article/147111249-Rest-API-Manual. The knowledge base article pages that would carry the module field list render as navigation and a table-of-contents heading with no body text, and the Rest API Manual returns the same, so no describe or metadata output listing the Deals module fields could be read. The developer documentation at community.vtiger.com and www.vtiger.com/docs/rest-api-for-vtiger was not reachable from this session. No vendor enumeration of the deal object's shipped attributes was obtained.

Resolution

No verdict

Same gap. Won and lost appear only as Sales Stage values in the vendor's prose, and no stage property reviewed separates them: the stage editor offers a name, a probability, the roles allowed to set it and a color, the four documented forecast categories are Pipeline, Best Case, Commit and Closed and nest cumulatively so Closed Lost falls in none of them, and the Closed Deals vs Goals chart is documented as showing deals marked Closed Won. But none of those sources enumerates the attributes the deal object carries, so the claim that no won, lost or outcome attribute ships cannot be made on this evidence.

Searched: As status_searched: no Vtiger page enumerating the shipped fields of the Deals module could be read, the Rest API Manual article rendered as a table-of-contents heading only, and the developer documentation hosts were not reachable.

Actual close date

No verdict

Expected Close Date ships on the deal and Vtiger uses it by name in its own workflow examples. No vendor page reviewed describes a field holding the date a deal actually ended, and the vendor's own closing instruction covers only the Sales Stage change with no mention of a date being stamped. This could not be settled either way because the knowledge base pages that would enumerate the module's shipped fields returned navigation only.

Searched: Vtiger knowledge base: Deals Module, Deal Management Overview, Deal Pipeline Stages and Lifecycle, Managing Sales Pipelines, The Deal Journey View, Kanban View in Deals, the Rest API Manual page, the How do I mark a deal as Closed FAQ, the Standard pipeline FAQ, the forecast categories FAQ and the weekday workflow FAQ; plus site searches for an actual close date, closed date or won date field on the Deals module. The article-format pages rendered as navigation without body text, so the shipped field list could not be enumerated from the vendor site.

Record preservation

In full

A settled deal stays a live record and keeps feeding Vtiger's own reporting. The Closed Deals vs Goals chart shows the total value or count of deals marked Closed Won measured against the quota, and Sales Results reports are documented as covering the deals a team closed and the deals it lost.

Structured lost reasons

In part

No stock lost-reason field on the deal appears in the documentation reviewed. A structured and reportable lost reason can be configured natively: administrators add and edit picklist values for a chosen module under configuration settings, custom blocks and fields can be added to modules including Deals, and the Reports module can then build detail, summary and pivot reports and charts over those fields. The capability is therefore present but has to be created by the buyer rather than being supplied ready to use.

Email sync

In full

Vtiger documents two-way email synchronisation between the Vtiger inbox and a connected Gmail, Outlook or IMAP and SMTP account, so mail sent or received in either place appears in the other. Mail sent from inside Vtiger is written back into the connected account's sent folder when two-way sync is on. Mail is composed and sent from within the CRM, and emails are related to records so that the correspondence history sits against the customer.

Calendar sync

In full

The activity object itself syncs, not a date field. The Exchange Connector synchronizes contacts, events, tasks and emails between Vtiger and Microsoft Exchange, and the vendor states that events support two-way sync; the connector is documented for cloud accounts as well as self-hosted ones. A separate Google Contacts and Calendar integration syncs calendar events, with a Sync Direction setting chosen from three options per record type and a sync log. Constraints: the Exchange route needs a component installed on the Exchange server alongside the Vtiger component, and the three Google sync direction options are not named in the documentation reviewed.

Schedulable activity types

In full

Events are scheduled from the calendar, from the create menu or from inside a record such as a deal, with invitees, reminders and recurrence, and the calendar covers both Events and Tasks so internal work that is not a customer meeting has a home. Activity types are user-definable: six ship by default, being Call, Meeting, Mobile Call, Onsite Meeting, Onsite Service and Group Event, and administrators add their own values to the Events Activity Type picklist under configuration settings, giving each a color and controlling who may assign it, so a team can track something like a demo separately.

Opportunity reporting

No verdict

No verdict. Forecasting is native and first class: the Forecast and Quota module holds sales targets for a team and for each member across a month, quarter or year, and four forecast categories roll deals up by sales stage, with per-category adjustments a manager can amend. A Reports module produces detail, summary and pivot reports and charts, and any chart or pivot report can be pinned to a dashboard for real-time viewing. The other two cannot be settled. No supplied stage conversion rate or overall win rate report is evidenced in the documentation reachable, and the Insights FAQ set - the one place such a report would be described - could not be retrieved, so their absence cannot be established either. With one dimension confirmed and two unresolvable, the dimension is recorded as unverified and counts toward neither a pass nor a failure.

Searched: Searched the vendor knowledge base FAQ sets for Dashboard, Forecast and Deals and Opportunities, and the Vtiger Sales Reports and Insights article, for a funnel report, stage conversion report or win rate report. The Insights FAQ set could not be retrieved. No page reachable to this evaluation described a supplied conversion or win-rate report, and none established that one does not exist.
